CONFIDENTIALILTY AND ASSESSMENTS
Teachworks is our scheduling and billing system. All information in Teachworks is encrypted and is password protected. Any confidential reports will stored on your student's Teachworks profile as a PDF once it is finished. Only you, the assessor, and the specialists working with your child can access this. Our internal contracts and confidentiality agreements restrict viewing of personal information about clients to only "as needed" circumstances. In the case of assessment reports, this means the reports are only accessed when a parent (or child over 18) asks for access. Each assessor stores all assessment reports and materials in the Google Workspace of our Linden Global Learning cloud, which is password protected and accessible only with a 2-factor authentication. This is only accessible to the assessor, assessment coordinator and Director of Educational Psychology. Any paper test materials are stored in our archive at the Berlin Office for 10 years. Unnecessary materials are shredded. Some testing data is collected via specialized assessment platforms such as Pearson Education (Q Interactive and Q global), MHS, PAR and WPS. Although these are very secure platforms, we do not use students' full names in order to maintain confidentiality. Only Linden assessors can access this. Assessment data such as provisional reports, test scores, minutes of observation sessions, etc are stored in a secure location for 10 years just as our professional guidelines require us to.
ACADEMIC AND LEARNING SUPPORT STATEMENT OF ACADEMIC INTEGRITY
The specialist's role is never to complete your child’s’ assignments for him/her but to help him/her learn the concepts and methods needed to complete assignments themselves.
CONFIDENTIALITY & COUNSELING
In order for a counselor or psychologist to contact a teacher or other professional regarding your child, you will be asked to sign a confidentiality waiver. With parental consent, counselors and psychologists may then discuss general details about your child with other professionals on a need to know basis. Such professionals are also bound to confidentiality by law. In any situation, your personal details will not be shared with anyone.
When a Linden counselor is under the impression that a student is at acute risk of harm to self or to others, the counselor is bound by law to take measures to ensure the student and other individuals are safe and receive professional help. Parents will be notified immediately if their child is perceived to be in danger of any kind.
MANAGING APPOINTMENTS
Linden’s scheduling system, Teachworks, provides parents or guardians with a private online account that gives access to your child’s coaching schedule, prepaid hours used, session notes, reminders, and payment records. Teachworks is GDPR compliant and uses SSL encryption. Access to all data is password protected, so the information about your child is safely stored.
If your child is late to a session or needs to cancel, please let us know as soon as possible. Coaches have permission to leave after 30 minutes if a student does not arrive at the designated meeting place. A “no-show” will not be refunded. Sessions cancelled less than 24 hours in advance will be billed for the first 30 mins (with exception of medical and COVID related issues).
ONLINE SESSIONS
When working online with children, we make use of every security measure possible to prevent, respond to and resolve any potential risks to children’s safety when using the company’s digital products and services. The links to online platforms are integrated into our password protected booking system Teachworks and will be sent to parents via email or can be accessed via Teachworks itself. By signing this document, you allow your child to attend an online session that was schedule through your Teachworks profile.

You will receive no more than four newsletters per year with updates on Linden's services and other relevant resources. You can unsubscribe from this mailing list at anytime. By agreeing to these terms, you understand that you have the right to opt out of Linden mailing list at anytime.
PAYMENT AND BILLING AGREEMENT
Invoices are typically sent mid and end of the month and should be paid within 7 days.
Payments may be made by online bank transfer or credit card.
PACKAGE CANCELLATION POLICY
Pre-paid packages of services are available starting at 5 sessions. You may cancel your package at any time. You will be refunded all remaining sessions except for a 12% administrative fee based on the total value of the package. Packages expire after 18 months and are non-transferable outside your family.
Many of our services and fees can be listed as a “Educational Costs” (Erziehungskosten) in Germany and considered tax deductible. Please check with your tax advisor for more information.
By signing this document, I understand that, although my private health insurance company or employer may cover some of these fees, I am fully responsible to submit full payment by the designated due date.
I agree to these terms above and understand that the information supplied in this contract will be stored on Linden’s secure scheduling and billing system, “Teachworks”.
